AI Telecaller for Real Estate: Qualifying Every Lead Before Your Sales Team Starts

A two-bedroom listing goes live on a property portal on Friday evening, a lead-form campaign runs over the weekend, and by Monday the CRM holds several hundred new enquiries (an illustrative example). The sales team starts at eleven and works down the sheet. By lunch they have reached part of the list, many of those buyers have already spoken to other builders, and the rest goes cold.

An AI telecaller for real estate handles that first call. It calls every new enquiry as soon as your permitted calling window opens, asks the same qualification questions each time, and gives your team a sorted list instead of a raw one.

Why Real Estate Leads Go Cold

Speed matters. A 2011 Harvard Business Review study by James Oldroyd, Kristina McElheran and David Elkington found: "Our research shows that most companies are not responding nearly fast enough." Its figures come from US companies more than a decade ago, so treat them as a direction, not a benchmark for Indian real estate.

Real estate makes it harder. Portal and ad leads arrive in bursts after launches and weekends, not during your shifts. One buyer often enquires about several projects, so the first credible call has an edge. And many enquiries are renters, mismatched budgets or forms filled in for someone else, which eat telecallers' hours while good leads wait.

Key Insight

An AI telecaller earns its place on the first call, not the close: it reaches every enquiry when your calling window opens, asks the same questions every time and turns the answers into fields your CRM can sort. Results depend on the work before launch: the fields, the routing rules and the compliance checks.

How an AI Telecaller Qualifies Real Estate Leads

Qualification is a short, structured conversation. Each answer fills a field with fixed values, so every call becomes a row you can sort and route. A starting template:

Field What the agent asks Why it matters
budget_range A range, such as “80 lakh to a crore” Spots a mismatch fastest
preferred_location Area or neighbourhood Matches a project
configuration 1, 2 or 3 BHK, plot or villa Matches inventory
purchase_timeline Now, within months, or later Callback today or nurture
loan_requirement Home loan needed or approved Shows readiness
site_visit_slot A preferred day and time A concrete next step

Use the same field names on every project's agent, so “how many 3 BHK buyers want possession within three months?” is one query. Ground the agent in your brochures, price sheets and FAQs, and have it pass price negotiation, and anything not in those documents, to a human, so it never makes promises your team must take back.

Hindi, English and Hinglish on the same call

Buyers rarely stick to one language: “do BHK chahiye, but east-facing hona chahiye” is a normal answer. Sarvam's model documentation, for example, lists a “codemix” output mode for its Saaras v4 speech-to-text model, which it says supports 22 Indian languages plus English. That says nothing about which models any platform, Zoice included, runs, so test on real recordings from your markets.

Zoice agents speak Hindi, Bengali, Gujarati, Kannada, Malayalam, Marathi, Odia, Punjabi, Tamil, Telugu and English, with native Hinglish support, reply in the language the buyer switches to, and can be given a language per contact in CSV campaigns. See language support.

From Qualified Lead to CRM and Site Visit

Every call should end in an action. Write pass/fail objectives (budget captured, timeline captured, visit slot offered) and map each outcome to a next step. An illustrative routing:

  • Hot: sync to the CRM as qualified and assign an owner, who confirms the visit.
  • Warm: a callback at the buyer's preferred time, then nurture.
  • Wants a person now: transfer to a human, with an announcement.
  • Mismatch or no answer: tag the reason, or retry by policy and send a follow-up.

On Zoice, each call produces an AI summary, a sentiment verdict with score, your extraction fields, objective results and a downloadable PDF report. AI phone calls retry unanswered leads by policy; outcomes, qualification status and recordings sync to Salesforce, HubSpot, Pipedrive or any CRM through generic webhooks (see integrations); the transfer_number tool hands a call to a human with an optional announcement; and follow-up sequences can include WhatsApp steps.

Two limits to plan around. A captured visit slot is a preference, not a confirmed booking, until your team confirms it. And whether a portal pushes leads into your CRM automatically depends on the portal and CRM, so check that path first. Later, re-plan calling windows from the best-time-to-call analysis in analytics.

Implementation Roadmap

  1. 1Define the qualification fields and allowed values, using the same names on every project agent
  2. 2Attach each project's brochure, price sheet and FAQ, and route negotiation and anything outside them to a human
  3. 3Write pass/fail call objectives and map each outcome to a next action
  4. 4Confirm the number series, consent records, DND handling, calling hours and DPDP obligations with your telecom provider and counsel
  5. 5Pilot one batch, have the sales team review the summaries and fields, then adjust before scaling

AI Telecaller vs Human Telecaller: Cost per Qualified Lead

Price per minute is the wrong comparison. Use cost per qualified lead: total spend divided by the leads your sales team agrees are worth a site visit. Count salaries, seats and attrition on one side, the plan fee, per-minute and carrier charges on the other, and the ad spend wasted on leads nobody called on both.

A hypothetical example; every figure is an assumption, not Zoice pricing, a customer result or a guarantee:

Assumption Human only AI first call + human callback
Leads reached (of 3,000) 1,200 (40%) 2,100 (70%)
Qualified (25% of reached) 300 525
Monthly spend ₹6,00,000 ₹6,50,000
Cost per qualified lead ₹2,000 about ₹1,238

The blended setup wins here only because it is assumed to reach more leads at the same qualification rate. Real results depend on your reach rate, qualification rate and total costs, and can go the other way. Zoice bills per minute of AI conversation on top of any plan fee, with carrier charges separate; see pricing.

Compliance for Real Estate Calling in India

This summarises the sources below and is not legal advice; confirm the current position with your telecom provider and counsel.

  • Number series. TRAI's July 2026 clarification puts promotional calls from any sector on registered 140xx numbers. 1600xx is for service and transactional calls by RBI-, SEBI-, IRDAI- and PFRDA-regulated entities and government, with deadlines from January to March 2026 (November and December 2025 directions). A 1601 series started in August 2026 for utilities, courier and logistics only. Calls to portal leads are promotional, so 140xx applies.
  • Consent and preferences. TRAI's TCCCPR separates explicit consent, “verified directly from the Recipient” and recorded by a Consent Registrar, from inferred consent, which comes from an existing relationship and ends with it. Customers also block promotional calls by sector on the DND registry. A portal enquiry is a reason to call, not automatically recorded explicit consent, so ask counsel whether it permits calling a buyer who has blocked real estate calls.
  • Calling hours. Customer time bands before 10:00 and after 21:00 are off by default, so plan promotional calls between 10:00 and 21:00.
  • Data protection. The DPDP Rules, 2025 were notified on 13 November 2025 and phase in over eighteen months: Data Protection Board rules at once, the Consent Manager rule from 13 November 2026, and the rest, including notices before processing personal data, from 13 May 2027.
  • RERA. State authorities such as Andhra Pradesh RERA require a project's registration number in advertisements; ask counsel whether sales calls are covered, and have the agent quote prices, possession dates and approvals only from approved documents.

Zoice records an explicit yes/no consent in the first five seconds of outbound calls, can redact Aadhaar, PAN and OTP patterns before transcripts are stored, and runs TRAI-DLT-aware campaigns (see security). These controls support your compliance process; they do not make a campaign compliant on their own.

Frequently Asked Questions

Will an AI telecaller sound robotic in Hindi or Hinglish?

Test on real calls. On Zoice, calls can carry background ambience, noise suppression keeps the agent focused, voices can be pitch-shifted from -12 to +12 semitones, and a custom voice can be cloned from 3 to 5 minutes of audio. A script that asks one question at a time matters as much.

How fast should I follow up on 99acres, MagicBricks or Housing.com leads?

As fast as your permitted calling window allows. We know of no verified benchmark for Indian portal leads, so track time to first call against your qualification rate.

Does an AI telecaller replace my sales team?

No. It handles first calls and follow-ups; your team runs site visits, negotiation and closing, and takes transferred calls from buyers who want a person.

Want to see this on your own lead flow? Talk to our team and bring last month's portal leads and your qualification script.
